Privacy policy

How Schogle collects, uses, protects and retains personal data — and the choices and rights available to you.

Effective date: 27 October 2026. Please read this policy together with our terms and conditions.

Our commitment

Schools trust us with information about learners, families and staff. We treat that trust as a core product responsibility: we collect only what is needed, use it only for clear purposes, protect it with appropriate safeguards and respect the rights of every person it relates to. This policy is written to align with the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Information Technology Act, 2000 and the rules made under them.

1. Key terms

2. Scope and our role

2.1 Data held on the Platform for an Institution

When an Institution uses the Platform, the Institution decides what records it keeps and why. For that data the Institution acts as the Data Fiduciary and Schogle processes it on the Institution’s behalf, under the Institution’s instructions and our agreement with it. Requests about such records — for example a student’s marks or attendance — should first be raised with the Institution; we will support the Institution in responding.

2.2 Data we handle for our own purposes

When you visit the Website, request a demo, email, call or message us, or enter into a business relationship with us, Schogle decides how that data is used and acts as the Data Fiduciary.

3. Personal data we collect

3.1 Authorised users of the Platform

Depending on the modules an Institution enables, the Platform may hold:

3.2 Customers, prospects and partners

Name, work email, phone number, school or organisation name, your role, approximate student strength, requirements you describe, consent records, and correspondence with us. For contracted customers we also keep billing, invoicing and contract details.

3.3 Website visitors

Technical data received by our hosting provider, such as IP address, browser type, device, pages requested and time of visit. The Website loads fonts from Google Fonts, which receives similar connection data. Please do not submit student records, health information, identity documents or other sensitive data through Website forms.

4. Why we use personal data

We process personal data on the basis of consent, for legitimate uses permitted by the DPDP Act (including performance of an Institution’s instructions), or where required by law. We do not sell personal data and do not use Platform data for advertising.

5. Consent

Where we rely on consent, we ask for it clearly and for a stated purpose. You may withdraw consent at any time by writing to hello@schogle.com; withdrawal does not affect processing already carried out. For data held on the Platform, consent is generally obtained and managed by the Institution, including consent of a parent or lawful guardian for children.

6. Purpose limitation and minimisation

We collect only the data reasonably needed for the purposes above, keep it accurate where we are responsible for it, and do not reuse it for unrelated purposes without a lawful basis.

7. Ownership of Institution data

Institutions own and control the records they place on the Platform. Schogle does not claim ownership of that data and uses it only to deliver and support the services. On request, and subject to the agreement, an Institution can obtain an export of its data.

8. Security

We apply reasonable security practices proportionate to the nature of the data, including encrypted connections (HTTPS), role-based access controls, restricted access for authorised personnel, secured cloud infrastructure, and monitoring for unusual activity. No system is completely secure; users should protect their credentials and tell their Institution or us promptly about any suspected misuse.

9. Personal data breaches

If we become aware of a personal data breach, we will act promptly to contain it, assess its impact and take corrective steps. We will inform affected Institutions, and where required by law the Data Protection Board of India and affected individuals, in the manner and timeframe the law prescribes.

10. Sharing and service providers

We share personal data only as needed:

11. Retention

Institution data is kept for the duration of the subscription and then deleted or returned as set out in the agreement, except where the law requires longer retention. Enquiry data is kept as long as needed to respond and follow up on your interest, and deleted on request. Backups are overwritten on a rolling schedule.

12. Your rights

Subject to the DPDP Act, you may request access to a summary of your personal data, correction, completion or updating, erasure, withdrawal of consent, nomination of another person to exercise your rights in case of death or incapacity, and redressal of grievances.

13. Children’s data

The Platform may hold data about students under 18 because Institutions require it. Such data is processed only on the Institution’s instructions and with verifiable consent of a parent or lawful guardian obtained by the Institution. We do not carry out tracking, behavioural monitoring or targeted advertising directed at children. The Website itself is intended for school leaders and staff, not children.

14. Transfers outside India

Some service providers may process data on servers located outside India. Any such transfer is made only to countries not restricted by the Government of India and with safeguards appropriate to the data.

15. Cookies

The Website does not use advertising or cross-site tracking cookies. The Platform and Website may use strictly necessary storage to keep you signed in, remember preferences and maintain security.

16. Third-party links

Our pages link to LinkedIn, Facebook, Instagram, X and WhatsApp. Their own privacy policies apply when you use those services.

17. Changes to this policy

We may revise this policy to reflect changes in law or our services. The current version and its effective date will always appear on this page; material changes will be communicated to Institutions.

18. Governing law

This policy is governed by the laws of India.

19. Grievance redressal and contact

For questions, requests or complaints about personal data, contact our Grievance Officer. We aim to acknowledge complaints promptly and resolve them within the time required by law. If you are not satisfied with our response, you may approach the Data Protection Board of India.
